NEW MEMBER APPLICATION PROCEDURE EST 2010
Required:
- A one (1) page Letter of Artistic Interest.
- Three (3) Letters of Professional Recommendation, ideally from members of EST.
- A resume, a picture if appropriate, and any supporting materials that would further acquaint us with the candidate's work.
- Actors: If requested to audition, must be prepared to present 2 contrasting monologues, not to exceed 2 minutes each.
- Directors: An interview will be required. Current work will be viewed.
- Playwrights: Samples of work will be required.
- Designers: Samples of work will be required.
- The Admissions Committee may also request an interview with any applicant.

- Applications will be accepted throughout the year.
- The deadline for applications is December 31st of each year.
- Actor auditions are held March of each year.
- 2010 Actor Auditions will be Saturday March 13th 10am-5pm @ EST
- New member candidates, vetted by the New Member Admissions Committee and Members Council, will be put to approval of the membership at either a Special Member Meeting or at the Annual Member Meeting held in December of each year.
- Applicants will be informed of their status as they move through the admissions process.
- The process for membership may take at least one year.
- There may be exceptions to the above procedure if an artist of exceptional merit shows interest in our organization.
- A candidate, in any discipline, may be invited to participate in a project at EST as part of the evaluation process.
INTERNAL ADMISSIONS COMMITTEE GUIDELINES 2010
- The Members Council Co-Chairs and Co-Secretaries shall annually form, maintain, and make known to the EST Membership, what will be called The New Member Admissions Committee, to be chaired by the Members Council Co-Chairs. Each discipline shall have its own Vetting Sub-Committee and can vote on the candidates in their discipline once all candidates have been vetted and all auditions and interviews have taken place. The Vetting Sub-Committees shall consist of the following non-staff EST Members.
o Playwright Vetting Sub-committee 4 Seasoned playwrights.
o Actor Vetting Sub-Committee 6 Seasoned actors.
o Director Vetting Sub-Committee 4 Seasoned directors.
o Design/Admin Vetting Sub-Committee 2-3 Designers/Administrators
o Alternates may be chosen for any of the above disciplines.
o The Co-Chairs and Co-Secretaries of Members Council.
- All EST Members of two or more years, interested in serving on the above committee should express their interest by contacting Members Council Officers or Submissions Coordinator in writing with their names, contact information, fields of endeavor, and when they joined EST.
- ALL MEMBERS of ALL DISCIPLINES of The Admissions Vetting Committee are invited to attend the actor auditions Saturday March 13th, 2010 @ EST.
- The Actor members of the Admissions Committee will be running the Saturday March 13th, 2010 auditions, which will be 10am-5pm. Actor interviews may also take place then.
- The Admissions Committee Group Wrap-up will be Saturday March 20th, 2010 10am-5pm @ EST. All committee members should try to be available that day.
- A Submissions Coordinator, chosen by the Members Council Co-Chairs, will be the point person in charge of all the submissions, application files, pictures, resumes, contact information, letters of recommendation, examples of work, as well as the distribution of all such materials to all committee members in advance of the March meeting of The Admissions Committee.
- This Submissions Coordinator must be responsible, organized and comfortable with the Internet.
- The creation of The Prime File and its ongoing maintenance will also be the responsibility of the Submissions Coordinator. The Prime File is a file of applicants, in any category, not yet admitted. A candidate asked to join the Prime File must confirm their interest. If they do not do so in a timely manner they will not be included in the Prime File.
- Interviews with any candidate may be scheduled as necessary.
MARCH ADMISSIONS COMMITTEE VOTING PROCEDURES:
- All proceedings shall be confidential.
- The Artistic Director of EST will be invited to join The Admissions Committee and process as a non-voting member.
- Each Discipline Vetting Sub-Committee will vote on each candidate when vetting, auditions and interviews are complete. For a candidate to be approved for membership or placement in the Prime File at this phase, the vote of the Vetting Sub-Committees must be as follows:
- Sub-committees of 5 or less members, the vote to approve must be unanimous. Committees with 6 or more members, there may be not more than one NO vote. There will be no proxy voting.
- Discussion and re-vote is possible.
- Results will be submitted promptly to the Members Council.
- According to the EST bylaws, Council then approves the vetted candidates (At the next scheduled Council meeting March 2010).
THE MEMBERS COUNCIL NEW MEMBER CANDIDATE VOTING PROCEDURE:
- This voting will take place in Council Executive Session, with no guests other than The Artistic Director of EST. Only Council members will have a vote.
- All proceedings of the Council Executive Session shall be confidential.
- This vote shall require 80% approval. Each candidate shall be voted on individually. There will be no proxy voting.
- In accordance with the EST by-laws, membership must approve the candidates vetted by the Admissions Committee and Members Council. This vote will take place at the next Member Meeting or a Special Member Meeting. Approval requires a 51% majority approval. There will be no proxy voting.
- A Special EST Member Meeting shall take place in 2010 on Sunday April 11th 6-8pm @ EST for this purpose.
- All candidates shall be voted on individually. There is no proxy voting.
- Changes to these guidelines must be approved by Members Council and made known to the membership (Article V Section 6 of EST Bylaws)

Article II: Membership
Section 2: Membership in the organization shall be open to all who apply and are nominated by the Members Council in accordance with Article V, Section 6, and approved at a membership meeting in accordance with Article IV, Section 1.
Article IV: Voting
Section 1: At all meetings of members all matters put to vote, except as otherwise directed by statute or by these by-laws, shall be decided by the vote of a majority of the members present at the meeting and who vote thereon. Each member shall have one vote and such voting may not be done by proxy.
Article V: Members Council
Section 6: Members Council shall establish a New Members Committee from the membership and publish the names of those committee members to the entire EST membership. Prior to consideration of any new members, Members Council shall be responsible for publishing to the EST membership the procedure by which new members are to be nominated, applications processed, and approval granted.
